How to add a new Agent user to BoomTown (Broker/Admin)

A step-by-step guide for Broker/Admin users to add a new Agent user to BoomTown, including login info, website URL, MLS ID, and activation options.

Overview

Broker/Admin users can add new Agent accounts to BoomTown directly from the Users - Agents page. This article covers how to navigate to the right page, complete the required fields on the Create New User form, and activate the new Agent's account.

⚠ Important: Do not overwrite an existing Agent's account to add a new Agent. Repurposing an existing account for a different person can cause issues with text messages and emails sent through BoomTown. Always create a brand-new Agent user using the steps below.


How to add a new Agent user

To add a new Agent to your BoomTown account:

  1. Open the left-hand navigation menu in BoomTown.

  2. Click the Admin tab to expand it.

  3. Select Users - Agents.

  4. On the Users - Agents page, click + Add New Agent in the top-right corner.

  5. On the Create New User page, fill out the required fields (marked with a red asterisk): Login/Email, User Role, Agent Website URL, and First and Last Name.

  6. Optionally, fill out any non-required fields. See Create New User page fields explained below for details on each section.

  7. At the bottom of the page, choose whether to activate the Agent now or let the Agent activate their own account.

  8. Save your changes to create the account.

Note: Either activation option sends a Welcome Email to the Agent's login email address with instructions for accessing their account and completing their profile.


Create New User page fields explained

The Create New User page is divided into five sections. Only fields marked with a red asterisk are required — your Agent can complete the remaining fields themselves from their profile page after activating their account.

Login Info

The Login/Email address determines:

  • How your Agent logs in to their BoomTown account.

  • Where your Agent receives BoomTown email notifications (new leads, info requests, etc.).

  • Where your Agent receives reply emails from leads.

  • Which email address displays on your Agent's pages on your website.

Because this email affects four different parts of your Agent's BoomTown experience, choose it carefully before saving.

Settings

The Settings section controls how your new Agent interacts with leads and appears on your website.

Account Type:

  • Active User — The Agent can receive leads from lead rotation and lead transfer, through their agent website, or added manually.

  • Profile-Only — The Agent cannot receive leads through rotation or lead transfer. Leads can only come through the agent website or be added manually.

⚠ Note: The Profile-Only option is not available on BoomTown Launch platforms.

User Role:

  • Agent — Standard Agent-level access.

  • Broker/Admin — Full access, including the ability to add and manage other users.

Additional User Permissions control whether the Agent is shown on your website and whether they receive Buyer leads, Seller leads, or both through lead rotation. You can adjust any of these settings after the Agent is added.

Agent Website Address

Create a URL for the new Agent's website — also known as the Agent subdomain. Most Broker/Admins use the Agent's first name.

The Agent's name replaces "www" in the URL. For example: http://agentname.yourcompanysite.com/

MLS Info

If you have the Agent's MLS ID, enter it here so their listings display on their agent website under the My Listings tab. The Agent can also add this ID later from their profile page.

Note: The Office MLS # field is not required by most MLSs.

Contact Info

The Agent's First Name and Last Name are required. All other contact details — phone number, additional email addresses, awards, bio, etc. — are optional and can be completed by the Agent from their profile page.


Activate Now vs. letting the Agent activate

At the bottom of the Create New User page, you can choose to activate the Agent immediately or send them an activation link. Both options send the Agent a Welcome Email with instructions for accessing BoomTown and completing their profile.

Any fields you don't fill out during setup can be completed by the Agent themselves once they log in and open their My Profile page.


Frequently asked questions

Can I reuse an existing Agent's account for a new Agent? No. Overwriting an existing Agent's account can cause issues with text messages and emails sent through BoomTown. Always create a new Agent account using the + Add New Agent button.

What happens after I save a new Agent account? A Welcome Email is sent to the email address entered in the Login/Email field. The email includes instructions for the Agent to access their account and complete their profile.

Do I need to fill out every field when adding a new Agent? No. Only fields marked with a red asterisk are required: Login/Email, User Role, Agent Website URL, and First and Last Name. The Agent can complete the remaining fields from their profile page.

What's the difference between Active User and Profile-Only? Active Users can receive leads through rotation, transfers, manual additions, and the agent website. Profile-Only users can only receive leads through the agent website or manual additions — they are excluded from lead rotation and cannot be transferred leads. Profile-Only is not available on Launch platforms.

Can I change an Agent's settings after I create their account? Yes. All Agent settings — including user role, lead rotation, and visibility on the website — can be updated after the Agent is added from the Users - Agents page.

Where do I go to add a new Agent in BoomTown? In the left-hand navigation, click Admin, then select Users - Agents. Click + Add New Agent in the top-right corner of that page.
