Admins: User Roles in BoomTown
This article explains the five user roles available in BoomTown, the permissions associated with each role, how to manage your Agent user list, and a detailed overview of the Agent Profile-Only role. Use this guide when adding new users, updating existing users, or determining which role to assign based on what a user needs to accomplish.
Note: Some permissions listed below are available to a given role but are optional by default. Optional permissions exist as capabilities that a Broker/Admin can enable, but are not necessarily turned on automatically for every user.

This article is written for Broker/Admin users who are responsible for adding, managing, and updating users in BoomTown. Agents, Lenders, and Lender Admins can also reference this article to understand the scope of their own permissions.
The five user roles in BoomTown
BoomTown offers five user roles, each designed for a specific type of user:
Agent Profile-Only — A free, limited-access agent account for users who need a profile and basic lead tools but do not participate in lead rotation. Agent Profile-Only users do not count toward your company's maximum number of Active Agents.
Agent — The standard real estate agent role, with full access to lead management, marketing tools, and lead rotation.
Lender — A role for mortgage lenders who receive and work leads alongside agents, without admin-level access.
Lender Admin — A lender role with admin-level oversight for managing other lenders and viewing lender-wide activity.
Broker/Admin — The highest-access role, with full administrative control over the account, users, reporting, and configuration.
Agent Profile-Only permissions
The Agent Profile-Only role is designed for agents who need a presence in the system and core lead tools, but do not participate in lead rotation and do not have access to team-wide listing or opportunity management features.

Agent permissions
The Agent role is the standard role for licensed real estate agents on the team. Agents participate in lead rotation, receive transferred leads, and have access to the full suite of marketing and lead management tools.

The Lender role is for mortgage lenders who are assigned to work buyer leads alongside agents. Lenders participate in lead rotation and have access to lead management and marketing communication tools, but do not have admin-level permissions.

The Lender Admin role is designed for senior lenders who oversee other lenders on the team. In addition to standard Lender permissions, the Lender Admin role includes admin-level access for reporting, lender accountability, and taking action on other lenders' leads.

Broker/Admin permissions
The Broker/Admin role has the highest level of access in BoomTown. Broker/Admin users can add and update other users, change lead rotation settings, export lead data, access the full reporting suite, and take action on any lead in the system. This is the role assigned to the broker, team leader, or operations manager responsible for configuring the account.

Managing your Agent user list
Your Agent user list is where you can view a roster of all Agent users associated with your account, update lead rotation and site-showing settings, and access individual Agent profiles for further updates.
How to access the Agent user list
To access your Agent user list:
Network Admin access across multiple platforms
If you are a Network Admin user, you have access to view and edit Agent users on each of your platforms. You can filter your Agents page to view each platform separately using the drop-down menu at the top of the page.
What you can see and do in the Agent user list
The Agent user list includes the following columns and controls:
Name — Displays the Agent's last name and first name, with their login/email address shown below. Click the Agent's name to open their Agent Profile page.
Show on Site — Controls whether the Agent's name and picture appear on your website's Agents directory page. When both Show on Site and Send Leads are turned on for an Agent, the Agent will also be displayed on listing Full Details pages.
Send Leads — Adds the Agent to the lead rotation. This setting must be turned on for the Agent to receive leads who register on your company's website.
Buyer Leads Per Round and Seller Leads Per Round — Sets the number of Buyer leads and Seller leads assigned to a given Agent within each rotation. Use these settings to weigh the rotation by assigning different lead quantities to different Agents.
Last Buyer Lead and Last Seller Lead — Shows the most recent lead assigned to the Agent through the rotation. These columns only account for leads assigned through rotation and do not include leads received through an Agent subdomain, since subdomain leads bypass the rotation.
Lender — Indicates whether an Agent has a specific Lender tied to their account through the Lender Auto-Assign setting. To change the auto-assigned Lender, click the Lender's name to open the Agent's profile and make updates.
Delete (X) — Deletes the Agent user. If the Agent still has leads assigned to them, clicking the X will open the Transfer Leads modal so you can reassign their leads to another Agent. Once all leads are reassigned, the account will be permanently deleted. In some cases, you may be prompted to contact Support to complete the lead reassignment.
Agent Profile-Only role overview
The Agent Profile-Only role is a free BoomTown Agent user account with limited access. Agents assigned to the Profile-Only role do not count toward your company's maximum number of Active Agents.
What an Agent Profile-Only user can do
An Agent Profile-Only user can:
Be set to Show On-Site, which displays the Agent on your website's Agents page.
Have an Agent subdomain website that routes registrations directly to the Agent, bypassing the standard rotation.
Manually add leads in Lead Central.
Email individual leads and create or use Email Templates in BoomTown.
Categorize leads in Lead Central and access Lead Profiles.
Tag and segment leads.
Use the Best-Fit Leads feature in Lead Central.
Use the Mojo Dialer integration.
Text leads.
Create e-Alerts.
Set To-Dos.
Build Tracking Links.
Access the BoomTown Help Center knowledge base and learning materials.
Join the BoomTown Agents Facebook Community.
Request a bulk lead import by completing the Pre-Import Questionnaire.
Create and publish blog posts.
Contact BoomTown Support with questions and concerns about their individual account.
Customize their Buyer Welcome Email.
Receive leads assigned through My Listing, My Lead.
Access the Listings Manager feature, including Hot Sheet and My Listings.
What an Agent Profile-Only user cannot do
An Agent Profile-Only user cannot:
Be placed in rotation to receive leads that register on your company website.
Receive transferred leads through Bulk Lead Transfer.
Access the Auto-Import Leads tool.
Receive transferred leads from a Broker or Agent.
Create or use Smart-Drip Plans.
Access the Smart-Drip Sharing Library.
Be a Custom-Content Page Content Editor.
Be a Craigslist Poster.
Have an Administrator role or administrative capabilities.
Access the NOW Panel (Opportunity Wall).
Create Text Templates.
Use Targeted Bulk Emailing in Lead Central.
Frequently asked questions
What is the difference between Agent Profile-Only and Agent?
The Agent Profile-Only role does not participate in Lead Rotation and does not receive leads through Transfer. Agent Profile-Only users also lack access to team-wide tools like the Opportunity Wall, Hot Sheet, My Listings, and the Content Editor. An Agent has all of these capabilities in addition to the full marketing suite, including e-Alert Templates, Text Templates, Smart-Drip Plans, Sharing Library, Targeted Bulk Email, and Targeted Bulk Texting.
Do Agent Profile-Only users count toward my company's Active Agent limit?
No. Agent Profile-Only users are free accounts and do not count toward your company's maximum number of Active Agents. This makes the Profile-Only role a good fit for referral agents, team members in training, or agents who need system access without consuming an active seat.
What is the difference between Lender and Lender Admin?
A Lender Admin has all the permissions of a Lender, plus admin-level access. Specifically, a Lender Admin can access the Admin area, make Lead Rotation Changes, view the Reporting Menu, use Lender Accountability tools, View/Take Action on Others' Leads, Filter By Assigned Lender in Lead Central, Create Group/Shared Text & Email Templates, and View Other Lender Text & Email Templates. A standard Lender cannot perform any of these admin-level actions.
Which role can add or update users in BoomTown?
Only the Broker/Admin role can add new users or update existing user accounts. If an Agent, Lender, or Lender Admin needs a user added or updated, they must request this from a Broker/Admin on the team.
Which role can export leads?
Only the Broker/Admin role has Lead Export Functionality. No other role — including Lender Admin — has the ability to export leads from BoomTown.
How do I stop an Agent from receiving new leads without deleting their account?
To stop an Agent from receiving new leads without deleting their account, turn off the Send Leads toggle for that Agent in the Agent user list. The Agent will remain in the system and retain access to their existing leads, but they will be removed from the lead rotation and will not receive new leads that register on your company's website.
What happens when I delete an Agent who still has leads assigned to them?
When you click the delete (X) button for an Agent who still has leads assigned, BoomTown opens the Transfer Leads modal. You must reassign the Agent's leads to one or more other Agent users before the deletion will complete. Once all leads have been reassigned, the account will be permanently deleted. If you are prompted to contact Support, reach out to the BoomTown Support team to finish the reassignment.
Why don't the Last Buyer Lead and Last Seller Lead columns match what I see in the Agent's profile?
The Last Buyer Lead and Last Seller Lead columns in the Agent user list only reflect leads that were assigned to the Agent through the standard lead rotation. Leads received through an Agent subdomain are not included, because subdomain leads bypass the rotation and are assigned directly to the Agent who owns the subdomain.
Which permissions are exclusive to the Broker/Admin role?
The following permissions are available only to Broker/Admin users and cannot be granted to any other role:

Can a permission that is not listed for my role be enabled?
No. If a permission is not listed for a given role in this article, it cannot be enabled for users assigned to that role. To gain access to a permission not available to your current role, a Broker/Admin would need to change your user role to one that includes that permission.
Can optional permissions be turned on by the individual user?
No. Optional permissions can only be enabled by a Broker/Admin. If you are an Agent, Lender, or Lender Admin and want a specific optional permission turned on for your account, contact a Broker/Admin on your team.
Key terms
Active Agent — An Agent user that counts toward your company's contracted Agent seat limit. Agent Profile-Only users are not considered Active Agents.
Agent Subdomain — A personalized website URL assigned to an individual Agent. Leads who register through an Agent's subdomain are routed directly to that Agent and bypass the standard lead rotation.
Broker/Admin — The highest-access user role in BoomTown, responsible for account configuration, user management, and reporting.
GCI (Gross Commission Income) — The total commission earned on a transaction before any splits or deductions. The My Deals - Show GCI permission controls whether a user can see GCI figures in the My Deals section.
Lead Central — BoomTown's main lead management view where users can search, filter, and take action on leads.
Lead Rotation — The automated system that assigns incoming leads to agents or lenders based on rules set by the Broker/Admin. Users must have Lead Rotation enabled to receive new leads automatically.
Lender Auto-Assign — A setting that ties a specific Lender to an Agent's account, so that buyer leads assigned to the Agent are automatically paired with the designated Lender.
Network Admin — A Broker/Admin-level user who manages multiple BoomTown platforms under the same account and can filter the Agent user list by platform.
SharkTank — A lead claim feature that allows eligible users to claim leads that have not yet been worked or have been released back into a shared pool.
