Leads are not being sent to Zapier from the New Lead Trigger
The New Lead Trigger works as a 1-to-1 connection based on the BoomTown account used to authorize the Zap. This means the Trigger will only send leads that are assigned to the specific BoomTown profile that authorized the Zap β not all leads on the platform.
If you need all new leads sent to Zapier regardless of agent assignment, each agent will need to set up their own Zap and authorize it using their own BoomTown login credentials.
Note: The New Lead Trigger also fires for leads that are transferred to an agent, even if those leads are not new to the platform. A lead transferred to Agent X will be treated as a "New Lead" for Agent X and will be sent to Zapier.
Tags are not appearing as options in my Zap
To set up a Zap to use a BoomTown tag when creating or updating a lead, only Company tags will appear as options in the Tag1 and Tag2 fields. Personal tags will not appear.
To make a personal tag available in Zapier, the tag must first be shared as a Company tag within BoomTown. Once shared, it will appear as a selectable option in the drop-down.
Note: Zapier allows you to type in a custom tag value, but BoomTown's API does not support creating new tags this way. Any lead imported with a custom tag value that does not already exist in BoomTown will not be imported successfully. Always select a pre-existing Company tag from the drop-down.
New lead notifications are not firing when leads come in through Zapier
To set up a Zap to use a BoomTown tag when creating or updating a lead, make sure the Import Type field in your Zap is set to Api Import.
Important: Api Bulk Import will not trigger new lead notifications for agents. Always select Api Import when setting up a Zap that should notify agents of incoming leads.
Leads are importing but some information, such as Notes, is missing
This issue occurs when an agent authorizes a Zap with their own BoomTown credentials but maps the lead to be assigned to a different agent or to Lead Matching.
Because the authorizing agent is not the assigned agent for the incoming lead, their access to that lead is cut off mid-creation. This interrupts the flow of data into the lead profile, which typically results in fields like Notes not being saved.
To avoid this issue, the agent authorizing the Zap should also be the assigned agent for leads coming through that Zap.
I cannot connect my BoomTown account to Zapier at all
BoomTown users with a Networked Admin or Lender account are not able to connect to Zapier. Networked accounts and Lender do not have API access, which is required for the Zapier integration.
If you are unsure whether a user has a Networked account, this can be confirmed by checking the Users page on their EditTenant drop-down.
A Zap with an existing lead's email address is not importing
Zapier can create new leads in BoomTown, but it cannot update or append information to an existing lead's profile. If a lead coming through a Zap has an email address that already exists in your BoomTown account, the Zap will not successfully import that lead.
