Deleting Agents
Agent accounts must be empty of all leads before they can be deleted — including both Active and Inactive categories (Closed, Pending, Archive, and Trash). If an Agent still has leads assigned, clicking the red X will prompt you to transfer them before the deletion can complete.
A Note on Overwriting Agent Profiles
When an Agent leaves your brokerage, avoid the temptation to simply edit their profile and hand the account to someone new. Doing this reassigns all historical activity — calls logged, texts sent, emails — to the new Agent's name, which makes reporting harder to interpret and muddies the record of who worked with which leads.
Keep in mind: once an Agent is deleted, their name will no longer appear in the system. Any historical activity previously attributed to them will display as (Deleted User). Properly transferring and deleting ensures the new owner of those leads is clearly documented going forward.
Swapping Out an Agent
Step 1 — (Recommended) Tag the outgoing Agent's leads
Before removing the outgoing Agent, we recommend tagging their leads so you can easily locate them after the transition:
Open Lead Central.
Use the Agent filter in the left-hand panel to filter by the outgoing Agent.
Select all leads returned by the filter.
From Bulk Actions, apply a recognizable tag — for example, Transition-JSmith or the Agent's initials with a date.
This makes reassignment to the new Agent much easier later. Without a tag, it can be difficult to separate the outgoing Agent's leads from others already assigned to you or your team. If you're distributing leads directly to existing team members and won't need to reassign them later, you can skip this step.
Step 2 — Add the new Agent
If you're bringing on a replacement, go to Admin → Users – Agents, click Add Agent, and complete the new user's profile. Having the new Agent in the system before you remove the outgoing one means you can transfer leads directly to them in the next step.
Step 3 — Click the red X to transfer leads and delete the account
Once you're ready, go to Admin → Users – Agents and click the red X next to the outgoing Agent's name. If they have leads assigned, a transfer modal will appear before the deletion can proceed:
Select the recipient(s) for the leads:
The new Agent if you've already added them.
Yourself to hold them temporarily.
Multiple Agents to distribute leads evenly across your team.
Choose Leave as is for the category so leads retain their current status.
Click Preview Transfer, review the details, then click Confirm Transfer.
Once confirmed, the leads are transferred and the Agent's account is deleted automatically in the same action.
Note: Bulk transfers cannot be reversed, so review your selections carefully before confirming. While the transfer is processing, the outgoing Agent will temporarily be set as a Restricted User to prevent any leads from being altered mid-transfer.
Step 4 — Reassign the leads (if you held them temporarily)
If you transferred leads to yourself in Step 3 rather than directly to the new Agent:
Open Lead Central and filter by the tag you applied in Step 1.
Select all leads returned by the filter.
From Bulk Actions, choose Transfer Leads and assign them to the new Agent.
Once reassignment is complete, filter by the tag again and remove it via Bulk Actions.
Distributing an Outgoing Agent's Leads Across the Team
If you're not bringing on a replacement and simply want to spread the outgoing Agent's leads across your existing team, select multiple recipients in the transfer modal during Step 3. Leads will be distributed evenly — no tagging or reassignment needed.
Deleting an Agent Without Leads
If an Agent has no leads assigned, the transfer step is skipped entirely.
Go to Admin → Users – Agents.
Locate the Agent you want to remove.
In the Delete column (far right), click the X button and confirm.
The Agent is removed immediately and the seat becomes available.
The Bulk Lead Transfer Tool
Broker/Admin users also have access to a standalone Bulk Lead Transfer tool for more granular control over how leads are moved. Access it at any time by going to Admin → Users – Agents, clicking the Actions drop-down in the upper right, and selecting Transfer Leads.
From there, you can specify:
User type — Agent or Lender
Lead types — Buyer, Seller, Buyer/Seller, or All
Categories — All categories, or specific ones
Number of leads — All selected, or a specific count
Recipient(s) — One or more Agents or Lenders; selecting multiple distributes leads evenly
Destination category — A specific category, or Leave as is
This tool is also how you bulk re-categorize leads for a single Agent — just select the same Agent as both the sender and recipient, then choose the new destination category.
Viewing transfer history
You can review past transfers by clicking View Bulk Transfers in the Actions drop-down on the Users – Agents page. History is available for the past 30, 60, or 90 days and includes transfer criteria, progress, and a detailed lead list. A summary email is also sent to the Broker/Admin who requested the transfer, the Agent the leads were transferred from, and the Agent who received them.
Deleting Lenders
Deleting a Lender follows the same overall pattern, with one key difference: Lender lead transfers are initiated from the Users – Agents page, not the Users – Lenders page.
To transfer a Lender's leads and delete their account
Go to Admin → Users – Agents.
In the upper right, open the Actions drop-down and select Transfer Leads.
On the modal, select Lender as the user type and choose the Lender whose leads are being transferred.
Select the receiving Lender(s). Selecting multiple will distribute leads evenly.
Choose a destination category or select Leave as is.
Click Preview Transfer, review, and confirm.
Once the transfer is complete, go to Admin → Users – Lenders, find the Lender, and click the delete button in the far-right column.
Deleting a Lender without leads
If the Lender has no leads assigned, you can delete them directly from Admin → Users – Lenders without running a transfer.
Key Terms
Bulk Transfer — The process of moving multiple leads from one user to another in a single action. Can be initiated from the delete-user flow or from the Actions drop-down on the Users – Agents page.
